Terms and Conditions of Service
 

Thank you for your interest in booking with the Boreal Dreams Outdoor Adventure Company. We hope to welcome you soon as our guest for unforgettable wilderness adventure in northern Ontario. 
 

When you book an adventure with us, we understand that you have read, understand and agree to  our Terms and Conditions of Service. We believe that terms and conditions that we have put in place to govern delivery of our services are transparent and fair to both you and our company.  

 

If you have any questions about this policy, feel free to contact us at your convenience.

1. Pricing
All prices for our services are in Canadian Dollars. We accept a number of payment methods including all major credit cards, debit cards, PayPal, Apple Pay, Google Pay.  Exchange rates associated with international transactions are determined by the payment service providers and subject to change.


2. Bookings and Cancellations 
When you place your booking with us we require a deposit of 20% of the total cost of your adventure at the time of booking. Once your deposit is paid, your place is reserved. We will also issue you an invoice for the remainder of your fees (80%) which are payable 30 days prior to the start of your adventure. Don't worry, we will remind you!

 

If you cancel your booking more than 60 days before the start date of your adventure, we will refund your deposit minus a $25 transaction fee. We charge this modest fee because we incur transaction and other expenses both to take and, if necessary, refund your deposit. We will process your refund within 5 working days.


If you cancel your booking 60 to 30 days before your start date, we will issue you a credit that can be applied to a future Boreal Dreams adventure. Please understand that before you begin your adventure, we incur a number of non-recoverable expenses including but not limited to food purchase and preparation, labour costs, and fees for third-party services. Thus, we are not in a position to refund your deposit if you cancel less than 60 days before your start date. Your credit can be used toward the cost of another Boreal Dreams adventure within two (3) calendar years from the date of your cancellation.


Unfortunately, neither a refund nor a credit can be issued for any fees paid if you cancel less than 30 days before your start date.


If we need to cancel an adventure before the start date, you will be refunded fully for any fees you have paid to us without any service charges.


We recommend strongly that you purchase third-party travel and trip cancellation insurance . If necessary, we will provide a “confirmation of trip interruption” letter to help you obtain travel insurance coverage.


3. Final Payment
We reserve the right to deny participation to any guest that has not paid their fees in full prior to the start date of their adventure.


4. Medical Insurance
If you are not a resident of Ontario, we also recommend strongly that your travel insurance includes emergency medical insurance. If you are injured during one of our adventures, we will manage your evacuation to the nearest hospital if required. You are responsible for the cost of any professional medical services you receive during or after your evacuation.

5. Pre-trip Information Form and Release of Liability

To ensure your safety, well-being, and enjoyment we ask that you fill out a brief Pre-trip Information Form before participating in any of our adventures. This includes a few necessary medical questions. We also ask that you sign a Release of Liability before beginning your adventure. The link to these online forms will be sent to you after you have paid your deposit and we have confirmed your booking. You will need to complete the Pre-trip Information Form and sign the Release of Liability before participating in any of our adventures. Information shared on the Pre-trip Information Form is understood to be private and confidential, and will only be kept as long as you are guest with us, and destroyed permanently and securely immediately after you conclude your time with us. 


6. Changes to the Itinerary and Activities 
Northern Ontario weather and highway conditions can be unpredictable, especially in winter. Summer brings unanticipated situations like forest fires and trail closures. We reserve the right to make changes to the itinerary of an adventure at any time. We know our business, and put concerns for your safety and well-being to the forefront at all times. We will always make conservative decisions in relation to assessed risks even if it means making changes to the itinerary, activity, or route. Rest assured we will do our best to maintain a high-quality experience for our you and all our guests. Should circumstances beyond our control, for example a “force majeure” or a medical event, or safety concerns compel us to cut a tour short, refunds will be issued to our guests based on proportion of tour completed. We reserve the right to determine how refunds will be calculated. 


Our adventures are guaranteed to run - there is no minimum number of participants - so you can book with total confidence.  If one only person has booked, we will run the trip.


7. Pick-up and Drop-off in Thunder Bay
Most of our adventures include complimentary pick-up (first day) and drop off (last day) in Thunder Bay as many of our clients will be arriving by plane. If flight or other delays cause you to miss your pick-up in Thunder Bay, there are bus and car rental options. We cannot be responsible for these additional costs, nor reimburse you missed days with us as a result travel delays  associated with services provided by other companies. If you are delayed, we will work with you to connect and ensure that you can enjoy the remainder of your adventure. We strongly advise that you plan to arrive in Thunder Bay at least one day before your "pick-up date" to mitigate the impact of any unexpected travel delays.

If you choose not to meet us in Thunder Bay and use your own vehicle to connect with us elsewhere to begin your adventure , we will​ ensure you have good directions and a secure place to park. Unfortunately, we are unable to offer discounts if you choose that option.

8. Use of Alcohol and Drugs

Clients must refrain from any use of alcohol and drugs during daily activities. Alcohol and cannibis may be used by clients in moderdation during the evening, but we reserve the right to restrict or deny participation to any client that we deem intoxicated or impaired to the point at which they present a risk to their own safety or the safety of others. The use of illegal substances is not tolerated at any time.


9. Violence and Disruptive Behaviour
We reserve the right to remove guests from an adventure if their behaviour jeopardizes the enjoyment or safety of other guests. Violence threatening behaviour, verbal aggression, and harassment of any kind will not be tolerated. If we are concerned about your behaviour, we will issue a warning and ask you to take corrective measures before taking any further actions. If you are asked to leave an adventure, you will not be eligible for a refund and you will be responsible for any costs (e.g. transportation) after your removal.


10. Your Rights as a Consumer
As our services are delivered in the Province of Ontario, our business operations are subject to the Ontario Consumer Protection Act. We advise you to consult the act should you have any questions about your rights as a consumer.  Should you be unhappy with any aspect of the service we provide, we encourage you to contact us immediately, and we will do our best to resolve the situation to your satisfaction. We understand that misunderstandings and disputes sometimes arise, and we always prepared to act in good faith in relation to any service concerns or issues you that may arise related to the delivery of our services.


11. Damage to Property and Supplied Equipment
You will be liable for any damage to accommodation providers property and Boreal Dreams equipment that is the result of deliberate misuse our neglect. We do not hold our clients responsible for the normal wear and tear or periodic damage that inevitably occurs through the use equipment as intended. We keep all our equipment in good working order and replace any equipment that is no longer functional or beyond its normal use life.


12. Privacy and Protection of Personal Information
We are committed to maintaining your privacy and protecting your personal information. Our business practices meet or exceed the requirements of Canada’s Personal Information Protection and Electronic Documents Act (PIPEDA) and other applicable privacy legislation in force in the Province of Ontario.  We advise you to consult our Privacy Policy and get back to us if you have any questions. or concerns about the policy, your rights, or our obligations.


13. Dietary Preferences and Restrictions
While we do our best to accommodate dietary restrictions or choices communicated in advance by our guests, we cannot certify or guarantee that our meals are gluten-free or free of specific allergens. If you are person living with Celiac Disease or a severe allergy, please be aware of this limitation when you consider booking an adventure with us. Your safety and well-being is paramount.


14. Changes to this Policy
The terms and conditions of this policy are subject to change at our discretion and in relation to any applicable consumer protection legislation. The terms and conditions of service that will govern our client/service provider relationship will be those "in force" and posted on our website at the time of your booking.
